REGISTRATION FOR SUMMER AND FALL

  • Students enrolled in MATC programs can register for summer and fall now using Self Service! MATC students who are not enrolled in a program can register through INFOnline.

SPECIAL NOTE REGARDING LIMITED RETURN TO CAMPUS

MATC is pleased to announce that in accordance with guidance from state health officials, a limited number of faculty, students and employees connected to the Police Academy program will be returning to MATC’s Oak Creek Campus for face-to-face instruction beginning Monday, May 18. 

This will be followed in late May and early June with limited in-person instruction for courses that could not be completed in the Spring semester in programs serving essential industries. Students and faculty in these courses will be notified directly with further instructions. 

Access to MATC Campuses 

  • Until further notice, MATC campuses remain closed to the general public and campus access will continue to be limited only to essential employees and students in specific courses. 
  • Access to campuses will take place through a gradual and limited approach.
  • Limited in-person courses will occur at the Oak Creek Campus, Downtown Milwaukee Campus, and the Health Education Center (HEC). West Allis and Mequon campuses will not be open for face-to-face instruction this summer.
  • MATC is planning to grow the percentage of classes that will be online in Fall 2020. 
  • In-person classes for hands-on programs that require face-to-face instruction will be offered in Fall 2020, if health officials believe it is safe and healthy to do so.

Limited Campus Access Plan 

  • Employees and students will be required to use appropriate personal protective equipment (PPE). 
  • The college has implemented other risk mitigation strategies such as social distancing, enhanced cleaning protocols, and campus access point health and temperature screenings. 
  • Returning employees, faculty, and students will be required to complete training and agree to comply with safety protocols. 
  • These risk mitigation strategies will be continually reassessed and adjusted based on guidelines from the U.S. Centers for Disease Control and Prevention (CDC) and other state and local public health agencies.

CLASSES

  • MATC moved courses to online delivery wherever possible as of Monday, April 13.

  • The college is prioritizing face-to-face instruction for Spring 2020 course completion in essential industries as defined by the State of Wisconsin. Other considerations include community needs and supporting students nearing program completion.

EMPLOYEES: FRIDAY, APRIL 10 HOLIDAY

The college is closed Friday, April 10 as planned. Thanks for all of your extra efforts to help our college move forward to serve our students during this difficult time. College leaders hope you can take some time to rest and relax over the long weekend.

EMPLOYEES: CAMPUSES REMAIN PHYSICALLY CLOSED INDEFINITELY

As the college has shared beginning March 20, campuses and education centers are physically closed indefinitely and only essential employees are reporting. The original plan to reopen campuses on April 13 is no longer in effect. Given continued coronavirus concerns, non-essential employees should plan to continue remote work for the foreseeable future. 

The college is committed to the health and safety of students and employees. College leaders will determine when employees and students can return to campus based on local and state health information. MATC leaders will continue to keep you informed on this and other important updates.

EMPLOYEES: REMOTE ACCESS TO YOUR WORK PHONE

Employees may now use the Cisco Jabber app on their mobile phones and iPads to accept and make phone calls as if they were at work.

1. Visit your phone or iPad app store and install Cisco Jabber

2. Login with username@ad.matc.edu (Note the "ad" before matc.edu) and your standard MATC password 

When using the app, dial five-digit extensions to call a campus extension and dial long distance with the 91 prefix.

The IT team is working on procedures for installing the Jabber software on personal home computers. Stay tuned for a notification when this is available. (Please note: HelpDesk and call center personnel use different software.)

Regardless of whether you use Cisco Jabber, if you need to check your work voice mail remotely:

• Dial the voice mail phone number: 414-297-8999

• Enter your five-digit extension followed by the # key

• Enter your voice mail password followed by the # key

FIND OUT THE STATUS OF YOUR CLASS

As MATC moves classes online wherever possible, students can access information on the status of your Spring semester class using this link. Find your class by scrolling through the alphabetical course section code to determine whether or not your class will be offered online and the plan for completing the term. Find your course section code (such as WELDTC 135 600) on your course syllabus and class schedule. 

Please contact your instructor with questions. In addition, your instructor will continue to email you with important class updates. Please be sure to check your MATC email often.

MATC is ready to work with you to complete the term so you do not have to withdraw from class or drop out, which could negatively impact your financial aid and academic progress. APPLYING FOR UNEMPLOYMENT BENEFITS

You may have lost your job due to the impact on businesses of the coronavirus disease 2019 (COVID-19). To help, federal programs have increased benefits and expanded eligibility. Gov. Tony Evers has waived the requirement to apply to four jobs per week in your field to qualify for unemployment benefits.

UPDATE ON CHROMEBOOK DISTRIBUTION

The team in our bookstore is hard at work processing Chromebook applications. Please be patient as they work through a large volume of requests. Students who qualified for a Chromebook will receive a shipping notice from FedEx. If you qualify but do not receive a shipping notice by April 17, you may check the status of your request by emailing milwaukeestore@matc.edu

SCHOLARSHIPS: IT’S NOT TOO LATE TO APPLY

It's not too late to apply for scholarships for the 2020-21 school year made possible by donors to the MATC Foundation. The scholarship application deadline is now April 19.

UPDATES DURING AND AFTER SPRING BREAK

As Spring Break begins, MATC will only produce daily updates with new information or reminders as needed. Starting the week of April 13, watch for The Week Ahead for MATC Students each Monday with key information for you. Thank you for reading!

NEW GRADING OPTIONS TO INCLUDE PASS/LOW PASS/NO PASS

MATC is offering new options to students for grading in response to the impact of the coronavirus disease 2019 (COVID-19).

Just like a typical semester, every student will be assigned a letter grade for each course in Spring 2020. However, due to COVID-19, MATC is allowing a one-time opportunity for students to convert their A - U letter grades to Pass (P), Low Pass (LP) or No Pass (NP) this semester. 

  • Pass (P): Students who receive a C or better are eligible to convert to a Pass (P) grade for the course unless the programs or courses do not allow pass/no pass grading due to program accreditation standards or other external requirements. Students can contact their faculty with questions.

  • Low Pass (LP): Students who receive a C-, D+, D, or D- are eligible to convert to Low Pass (LP). 

  • No Pass (NP): Students who receive a Unsatisfactory (U) are eligible to convert to a No Pass (NP) grade. 

Students converting to Pass (P) or Low Pass (LP) grades will receive credit for the course and it will count toward their academic progress and completion of the academic program. These grades do not impact their Grade Point Average (GPA). No Pass (NP) grades will not result in credit for the course, but will not impact GPA. 

Students will be allowed to change their letter grade to the Pass / Low Pass / No Pass grade between receipt of final grades and September 4, 2020. This date is subject to an extension. This option will become available only after you receive your final grade. Instructions for how to request this change will be available at that time. 

Before opting for Pass / Low Pass / No Pass, students should talk with their instructors and/or their advisor to ensure this is their best option.

TODAY’S UPDATES

DNC 2020 

The Democratic National Committee Convention will now take place the week of August 17, according to an announcement from organizers. College leaders and our existing cross-functional DNC 2020 planning team will meet in the coming days to assess the impact and share updates with MATC employees and students as they are available. 

CYBERSECURITY DURING THE COVID-19 CRISIS

Cybercriminals are exploiting people as a result of COVID-19. These new cybersecurity threats arrive via phishing emails, fake apps, texts or social media.

To protect yourself and your family:

  • Install Malwarebytes antivirus software on all your devices. Scan devices daily. Malwarebytes has posted Youtube training videos.

  • Be cautious with calls, texts and email from unfamiliar senders, particularly links or attachments.

  • Be on guard against suspicious emails. Don’t open any attachments or links you don’t trust. And even then, think twice.

  • Keep your software, browsers and apps up-to-date. Click for Chrome help or FireFox help.

  • Don’t provide personal or financial data by email, text message or over the phone unless you initiated the contact. Use two-factor authentication when possible.

  • Don’t use USB drives or other computer plug-in devices that you receive by regular mail, even if they appear to be from trusted sources.

  • Use the college’s preferred online platforms including Blackboard Collaborate and Google Hangouts. Avoid Zoom and Houseparty due to privacy concerns. Be especially careful about downloading “free” apps on your mobile phone. 

  • Get information about COVID-19 from trusted sources like the Centers for Disease Control and Prevention (CDC) and State of Wisconsin Department of Health Services.

APPRENTICESHIP BANQUET CANCELED

This year’s Apprenticeship Banquet is canceled due to the coronavirus disease 2019 (COVID-19) outbreak. Messages are being sent directly to students, employers and partners involved. Planning will continue for an April 2021 event.

HAVEN’T HEARD FROM YOUR INSTRUCTORS?

Instructors have been sharing important information and details about your classes primarily via email and in some cases also by text or phone. Please be sure to check your MATC email for this update from your instructor. 

In most cases, online classes start April 13 with the intent to complete by May 22. Instructors will email you specific details regarding your course and the plan of action for completing the term. MATC is ready to help you find ways to support your transition to online learning, continue your studies and develop a plan to complete the term so you do not have to withdraw from class or drop out — which could negatively impact your financial aid. Let us know if there is anything else we can do to help you successfully complete the semester through our “Ask a Question” button at matc.edu/coronavirus

Please note the following guidelines regarding class refunds: 

  • For classes that will continue in an online format, no refund will be issued.  

  • If a student elects to discontinue the course, the student can file an appeal for a refund through the normal college process. Students have until May 8, 2020 to submit an appeal. Each appeal will be reviewed on a case-by-case basis.  

  • If you are a financial aid recipient, withdrawing from a class may negatively impact your financial aid. Please reach out to a financial aid advisor prior to making the decision by emailing finaid@matc.edu

  • If MATC cancels a course that has not started, you will be issued a full refund.

APPLICATION FOR TECHNOLOGY ASSISTANCE - SPRING 2020

MATC has a limited number of Chromebook laptops available for current students with no other options available to access their classes remotely. These resources are extremely limited, so we ask that you consider whether you have any other options for accessing your classes online, such as sharing a laptop with a family member or friend. This will ensure that students who have no other options have the first priority to receive a Chromebook

If you have no other option to access your classes online, please click this link to complete the Application for Technology Assistance - Spring 2020. If you qualify, you will receive further instructions from MATC’s bookstore team via email at milwaukeestore@matc.edu.  

EMPLOYEES: LEAVE CARRYOVER EXTENDED FOR FY 2020-2021

During the COVID-19 crisis, college leadership recognizes that your ability to use your vacation time has been limited. To enable employees the opportunity to use vacation time, the college is making a one fiscal year (FY) change to the carryover policy.

  1. There will be an unlimited amount of carryover into 2020-2021 FY. The previously communicated deadline of July 31, 2020 has been lifted. 

  2. By July 30, 2021 all employees will need to have any remaining leave balances down to the 20% carryover limit. This extension is only for the upcoming FY. 

  3. Time off approval will take into consideration the staffing needs of the department, so plan ahead. Any time off request must be pre-approved by your supervisor following your department guidelines.

  4. If an employee separates (resigns, terminates or retires) prior to June 30, 2021, any payout would be limited to 120% of their annual vacation allocation.

Thank you for your continued dedication to your work during these unusual times. We hope this extension will improve your enjoyment of your paid time off. 

EMPLOYEES: PURCHASING GUIDELINES FOR OPERATIONAL FUNDS

Per the email sent to all employees March 24, non-essential purchases are on hold at this time. Non-essential purchases are:

  •  Items that will not be used during the college closure

  •  Items that will not be used during summer courses

The COVID-19 crisis is not a time to place orders for the Fall semester or to attempt to use remaining operational funds before the end of the fiscal year. 

It is important to consider the delivery process of orders considered essential.  Currently the receiving dock on the Downtown Milwaukee Campus is only staffed Tuesdays and Thursdays from 10a.m.-noon.

To coordinate receipt of an order the initiator must:

  • Obtain tracking/shipping information from vendor

  • Contact James Weishan to ensure staff will be available when items are to be delivered.

Shipment to any address other than a MATC campus is prohibited.

EMPLOYEES: TRACK COVID-19 EXPENSES

The college has instituted a procedure to track expenses that have or will be incurred as a result of COVID-19. Budget Managers must log COVID-19 expenses according to these categories: 

  1. Overtime pay

  2. Operational expenses incurred, and

  3. Capital purchases

The finance office has created a shared Google sheet for Budget Managers to enter and track their incremental departmental costs according to the three categories above. Overtime categories will include employee and supervisor, pay period and overtime hours. Operational expense categories will include date paid, general ledger number, vendor, amount and description of expense.

It is critical that Budget Managers complete this documentation.

EMPLOYEES: YEAR- END PERFORMANCE REVIEWS - TEACHING ACTION PLANS (TAPs)

As noted in an earlier message, MATC is suspending the requirement to complete year-end performance reviews for non-faculty for this fiscal year (2019-20) through SumTotal. You do have the option of completing the form, so they will remain on To Do lists through June 12.

The Faculty Peer Coaching process (TAPs) are part of the state-required FQAS system so the college cannot suspend them. However, we have extended the TAP due date to June 12, and faculty who want to change their TAP and declare their training and moving courses to Blackboard as their project will be allowed to do so. 

Due dates in SumTotal cannot be changed for these processes, so please disregard any messages that do not reflect this extension.

STUDENTS PLANNING TO GRADUATE IN MAY: APPLY NOW

  • While the May graduation ceremony (commencement) is canceled, students who are planning to graduate in May should still apply for graduation by May 22 at matc.edu. No payment is required. (The deadline on the form no longer applies.) The college will continue to review students’ credits against graduation requirements, but the application helps ensure that students are on track.

  • To celebrate their achievement, students have the opportunity to participate in the Friday, December 11 commencement. The college continues to explore other options and we will share more as we are able.

COLLEGE DONATES MEDICAL SUPPLIES, FOOD

The college donated personal protective equipment and other supplies from healthcare programs to six healthcare facilities in Milwaukee and Ozaukee counties. The college also loaned seven ventilators and two bipap machines to local hospitals. The college gathered a large amount of food from the culinary arts program and food services and donated it to the Hunger Task Force. Read more in our news release.

EMPLOYEES: VIRTUAL PATHWAYS LISTENING SESSIONS 

Join Dr. Vicki Martin in April as we begin launching new Academic and Career Pathways. All sessions are 2-3 p.m.   

EMPLOYEES: NEW TIME SHEET SYSTEM FOR NON-FACULTY

Great news! MATC is implementing a new timesheet entry and approval system for all non-faculty employees. Non-represented employees and many student workers are already using the system. Based on their feedback, you are likely to find the new system user-friendly.

  • The new system is easy to access remotely because VPN and VDI are not needed — access is through myMATC with any browser (including Chrome, which was not usable in the previous system)

  • It will not require an additional username and password login, making the process more efficient

  • For employees who receive shift differential, the system will save a step by automatically adding the differential by shift start/end times

Links will be available on myMATC — Look in the “Employee Timesheets” section on the appropriate day. Most employees will not need training to use the new system. Step-by-step instructions will be available.

  • Time sheets through mid-April are already complete. Plan to use the new system for the next time sheet process starting pay period 4/19/20 - 5/2/20. Ultimus timesheets will not be available after the 4/5/20 - 4/18/20 pay period.   

  • At first, submission and approval deadlines will shift earlier to provide more time for the Payroll team (Wednesday, April 29 instead of Friday, May 1). After that, submission and approval deadlines will follow the typical pattern with Friday deadlines for submitters and Monday deadlines for supervisors.

  • Leave balances will automatically appear in the new system.

This rollout is one component of the college’s transition to self-service. Stay tuned for more information.

Open registration is the first opportunity to register for new students and non-program students. Program students can use a new registration tool at selfservice.matc.edu to both register for classes and plan for future semesters. Non-program students can continue to register at infonline.matc.edu

LEAVE UNDER THE FAMILIES FIRST CORONAVIRUS RESPONSE ACT (FFCRA) 

Per the March 27 email from Dr. Martin to all employees, MATC is committed to continue paying all employees through the end of the semester, May 26, and will explore every option to continue to do so beyond that.

In addition, the Families First Coronavirus Response Act (FFCRA) is new federal legislation which may apply to those employees who are unavailable to work (remotely or as an essential employee) as a result of a qualifying COVID-19 reason. FFCRA provides expanded Family and Medical Leave Act (FMLA) leave and emergency paid sick leave. The law is in effect from April 1-December 31. M BUILDING WATER SERVICE

Due to construction work, the M building on the Downtown Campus will not have running water April 1-April 7. Essential employees who are working in the M building should use the restrooms and water fountains in the adjoining buildings.

YOUR SUCCESS IS OUR PRIORITY

This is an important update about completing your courses for the Spring semester. 

MATC is committed to providing safe and high quality education so you can complete coursework already started and help you achieve your goals.    

MATC is working to transition in-person courses to online delivery wherever possible by Monday, April 13 and devising ways to complete courses where online delivery is not possible.

The college is focused on helping students complete courses this semester so you can graduate on time or prepare for the next semester. Many of you are now preparing to shift to online classes. At the same time, we know this is a difficult situation for many of you. The transition to online classes may present unexpected challenges.

EMPLOYEES: TELEHEALTH VISIT COVERAGE FOR ALL CONDITIONS

Medical insurance provider UMR is now covering telehealth visits for all medical reasons. UMR will apply the same payment rules for telehealth and office visits, and local provider co-pays may apply. Any in-network provider offering telehealth is eligible. Check with your primary care provider or consider Ascension Online, Froedtert Virtual Clinic or Aurora Video Visit.

EMPLOYEES: ADOBE SOFTWARE ACCESS

Adobe has provided temporary remote access to Creative Cloud Desktop Apps such as InDesign, Photoshop and Illustrator for students and employees. Please follow the instructions below to enable access to Creative Cloud Desktop Apps on your personal device. Faculty, please share with your students if this is relevant for your courses. 

  1. Visit creativecloud.adobe.com and click the “Continue with Google” login option.

  1. If prompted, select Company or School Account and then enter your MATC email.

  1. From the Creative Cloud website, browse for and download your desired app.

College leaders continue to meet daily as we plan for and respond to COVID-19. Please see these important updates:

SPRING COMMENCEMENT UPDATE

As shared earlier in the week, the college made the difficult but necessary decision to cancel the May 15 in-person graduation ceremony for the health and safety of all involved.

We appreciate the understanding of our outstanding candidates and your hard work toward achieving your dreams. To give students the celebration graduating students deserve, our contingency plan now is to have graduating students participate in the December commencement to celebrate their achievements. We identified this alternative to provide a clear and immediate option to students who planned to participate in May. We are still exploring other options because we are committed to celebrating your success. We will continue to share more as we know it. 

Students who have not yet applied but want to participate in Winter Commencement have until October 31 to apply.

MATC LIBRARY VIRTUAL ACCESS

The MATC community can access library assistance by visiting the MATC Libraries' Get Help page. Follow the library Facebook and Twitter accounts for helpful tips.

FOOD RESOURCES

Please see these updates from our partners at the Hunger Task Force, which will continue to operate as an essential service during the “Safer At Home” order:

  • Households with infants should know that WIC is still operating.

  • Households with children 18 and younger can get grab and go meals from a host of schools listed on The Hunger Task Force website.

  • Households with a senior citizen can support that senior by bringing the senior’s ID to an open “drive through” Stockbox site, also listed on The Hunger Task Force website. Senior dining sites are also serving curbside meals.

  • The Hunger Task Force website is updated each day with community food pantry sites that remain open. The Mobile Market schedule provides the locations of the “grocery store on wheels” which sells discounted food and helps eligible people apply for FoodShare.

PETITIONING

Students who have petitioned to enter a program will be notified by March 31 as scheduled. A team is meeting to ensure that applicants receive petition emails. Students with specific questions should contact Rosy Lopez.

REMINDER: FINANCIAL AID REFUNDS

Financial Aid refunds are going out as scheduled and will be processed for distribution on April 1 to Bank Mobile cards. There are no interruptions with refunds. Please disregard any previous dates.

EMPLOYEES: VACATION EARNED ON AN ANNUAL BASIS - VACATION AND COMP TIME EXTENDED ONE MONTH

Vacation earned from 7/1/19-6/30/20 will appear on your pay advice by April 10. You can carry over vacation earned in fiscal year 2018-19 for an additional month, giving you until July 31 to use your current vacation allotment.  

Employees who are eligible for compensatory time can carry over earned compensatory time hours and use them through July 31. Both vacation and comp time extensions are only applicable this year in recognition of unforeseen circumstances resulting from the coronavirus (COVID-19.) College leaders continue to meet daily and make difficult-but-necessary decisions as we plan for and respond to COVID-19. Please remember that these daily updates are the primary source of information about college operations during this rapidly-evolving time. Thank you for reading the important information below.

“SAFER FROM HOME”

As expected and as we shared with you yesterday, Gov. Tony Evers issued a “safer from home” order today. Per our message yesterday, we are taking steps to fully close buildings to only those few essential employees who provide security and necessary operational services. We have received information from the Wisconsin Technical College System that indicates the steps MATC is taking will meet the requirements of the order.  

ACADEMIC SCHEDULE UPDATE: NO FACE-TO-FACE CLASSES THIS SEMESTER

MATC has made a decision NOT to resume face-to-face classes or in-person college events this semester. This decision was made with the health and safety of our students as our first priority. 

MATC is focused on students’ course completion. Key information to remember includes:   

MATC is moving to online classes where possible by Monday, April 13. 

The Spring semester will end on Friday, May 22 as planned. 

Deans and faculty are devising completion options for your program.  

Again, no classes will resume face-to-face for the remainder of the semester.

COURSES WITH LABS OR CLINICAL COMPONENT

While we had hoped for a different outcome, MATC will not resume face-to-face labs, clinicals and other classes that cannot be taught online this semester. 

Instructors will convert components of these classes to online where possible by Monday, April 13.

For portions of labs, clinical and classes that cannot be converted to online, the college is finalizing its plans for students’ completion options. More details will be shared with students as they are available.     

COLLEGE CEREMONIES AND EVENTS

As a reminder, the college has canceled the Friday, May 15 in-person graduation ceremony. Graduating students will be invited to participate in the December commencement to celebrate your achievements! The college still intends to send degrees when students complete their programs as we typically would. 

In addition, MATC has canceled all spring semester in-person ceremonies including: Nursing Pinning, Allied Health/Dental Pinning, Academic Honors, Student Honor Society Induction, Portfolio Night and GED Graduation. The college is exploring options for these celebrations of student achievements virtually or may decide to postpone them. 

ANTICIPATED SUMMER DATES

Summer can be a good time to make progress toward educational goals.

Summer classes will begin in online formats on Sunday, June 7. 

MATC is planning to offer in-person lab classes using social distancing protocols, beginning on Monday, June 8 on all campuses. 

This schedule will avoid in-person lab classes at the Downtown Milwaukee Campus during the Democratic National Convention scheduled the week of July 13.

COVID-19 RESOURCES IN MULTIPLE LANGUAGES

The Wisconsin Department of Health Services provided resources regarding coronavirus which may be useful to English language learners and others in our community. COVID-19 language is available as a pdf: 

The resources were developed in Minnesota. This Wisconsin resource can accompany the links above. A Rohingya-language YouTube video is available along with a handwashing video.

The Centers for Disease Control has provided a tip sheet on stopping the spread of germs in 15 refugee languages. (Open the file, “All Translations with CDC Logo Removed.”)

COUNSELORS FOR THE MUSLIM COMMUNITY

Muslim Community Health Center counselors are available to help with anxiety and stress related to COVID19. Call 414-939-4411 to schedule an appointment for phone or video sessions.

EMPLOYEES: VITAL OFFICE ITEMS PICK UP

Non-essential employees may need to retrieve items from their work area. As a reminder, the Public Safety Department and the Operations Department have developed the following procedure.

  1. Before you can access the campus, make arrangements via email to milwaukee-campus-operations@matc.edu and include:

    1. Employee’s name

    2. Employee’s home/cell phone number

    3. Employee’s email address

    4. Campus and room or office you need to access

    5. Desired dates and times for access, as well as items to be retrieved 

  1. A member of the Operations team will contact you within 24 hours (excluding weekends) to coordinate a date and time to access the campus you requested.  

  2. Email requests will be monitored Monday - Friday 7:30 a.m. – 4 p.m. Unfortunately, because of limited staffing, we may not be able to approve same-day requests. 

  3. When entering and exiting college buildings, please adhere to the following safety precautions: 

    1. Wash or sanitize your hands before and after your visit. 

    2. Go directly to your approved area(s) and leave immediately after retrieving your item(s).

    3. Avoid touching your eyes, nose and mouth.

    4. Cover your mouth and nose with a tissue when you cough or sneeze, or use the inside of your elbow. Wash or sanitize your hands again. 

    5. Avoid being closer than six feet from others.

This process will help our on-site staff better manage the number of employees accessing a space, keeping our on-site staff safe and helping ensure our building services staff can sanitize as appropriate.

The college cannot provide any access to items left at community-based organizations.

EMPLOYEES: SHIPPING AND RECEIVING HOURS AND PROTOCOL

The shipping and receiving area on the Downtown Milwaukee Campus is open 10-noon on Tuesdays and Thursdays. Employees should refrain from ordering non-essential items at this time. Please contact James Weishan at weishajw@matc.edu if you are expecting a shipment.

EMPLOYEES: COVID-19 TELEHEALTH VISIT COVERAGE

Medical insurance provider UMR is covering telehealth visits for coronavirus (COVID-19) at no cost to employees. Check with your primary care provider or some examples of where to access telehealth are Ascension Online, Froedtert Virtual Clinic, and Aurora Video Visit. MATC requested that UMR expand coverage for telehealth visits to all medical conditions and is awaiting a response.

EMPLOYEES: YEAR- END PERFORMANCE REVIEWS - TEACHING ACTION PLANS (TAPs) 

As noted, MATC is suspending the requirement to complete year-end performance reviews for this fiscal year (2019-20) through SumTotal. 

TAPs are part of the state-required FQAS system so the college cannot suspend them. However, we can extend the due date to June 12, and faculty who want to change their TAP and declare their training and moving courses to Blackboard as their project will be allowed to do so.

Tony Evers that he will be issuing a “Safer from Home” order on Tuesday, MATC is preparing its continuity plan to fully close its buildings to only those few essential employees who provide security and building system checks. This plan will allow the maximum number of employees to remain home in accordance with the governor’s anticipated order.

MAY 15 GRADUATION CEREMONY CANCELED; CANDIDATES INVITED TO DECEMBER COMMENCEMENT

MATC will cancel its May 15 in-person graduation ceremony. Graduating students will be invited to participate in the December commencement to celebrate their achievements! May graduation deposits will be refunded. Students who have not yet applied but want to participate in December commencement have until October 31 to apply.

The college continues to work with faculty and students to move classes to alternative delivery/online where possible by April 13 to support students' completion of certificates, degrees and diplomas. COURSES MOVING TO ALTERNATIVE DELIVERY 

MATC is working to transition courses to alternative delivery (including online) wherever possible by Monday, April 13. Classes will start as they are determined to be ready to make the transition. With that in mind, a very small number of courses will be ready to begin Monday, March 23 with others starting Monday, March 30 and still others starting Monday, April 13. All MATC campuses and education centers will remain closed until further notice.  

STUDENTS, WATCH FOR MESSAGES FROM INSTRUCTORS

Students, please watch for messages from your instructors about the start dates for your courses. These messages will include instructions on how to access these courses. 

WHAT ABOUT LAB CLASSES THAT CANNOT GO ALTERNATIVE/ONLINE?

Students in courses that cannot easily transition to alternative delivery/online instruction will get specific messages from their instructors as well about next steps.

SUPPORT FOR STUDENTS IN NEED 

During this emergency situation, the MATC’s Dreamkeeper Emergency Grant Assistance program is available to provide small grants (usually less than $500) to eligible students who are experiencing unexpected loss of income, health expenses, and other emergency needs. To support our students’ ability to continue their education, a team at the college is exploring how to expand eligible uses of this fund to address digital equity by providing technology resources to students to participate in online coursework. We are exploring this and meeting other emergency needs in partnership with the Local 212 FAST Fund.

Health Care Clinic Update for Students: Froedtert has temporarily closed all locations of its FastCare® Clinic until further notice. MATC is working on an alternative option for students and will provide details as soon as possible. Students should watch their email for further instructions. Information will also be posted on Coronavirus Disease 2019 (COVID-19).

Froedtert’s COVID 19 Testing Hotline: Walk-in COVID-19 testing is not available. Instead, please use one of these options: Call your primary care provider’s office or Froedtert Hospital’s COVID-19 hotline, 414-805-2000.

STUDENTS: FOOD DISTRIBUTION MONDAY 

On Monday morning from 11:30 a.m.- 12:30 p.m., Hunger Task Force will be at MATC’s Downtown Milwaukee Campus distributing fresh food and produce to students on a first come, first served basis. The distribution will take place outside of the S Building and will continue until all of the food is gone. Please email studentresources@matc.edu with any questions. EMPLOYEES: OUR WORK CONTINUES - REMOTELY

MATC commits to continue to pay employees, including student workers and work-study students.

This is because we care about our employees and students - and know that the work of the college continues. 

All employees are expected to continue to be available to work either on-site to perform essential duties as assigned or remotely. If employees are not available to perform work and have not been excused through the medical and/or child care exemptions, timesheets will be modified accordingly.  

Each of you have skills, talents and specific contributions you can make toward the work of college. 

Managers will be contacting their teams, holding virtual team meetings and delegating work assignments that can be completed from off campus locations. 

This includes compliance training through SumTotal and documentation of standard operating procedures. 

If you are not able to work from home due to a planned vacation, please let your supervisor know and record vacation hours in your timesheet.

This is a change from instructions given in a previous all employee message. 

Even though the majority of employees are not working from campus, all employees will continue to work remotely.

To access Ultimus Time Sheets: 

1. Log into vdiweb.matc.edu

2. Select: “VMWare Horizon HTML Access” and click “Accept.”

3. Login using your MATC username and password (and click “Login”)

4. Click on “Administrator Office 2016”

5. Once you login, you will have access to your shared team drives in Windows Explorer

6. To access Ultimus: Double click on the desktop shortcut “myMATC – Ultimus”

7. Log on to myMATC and follow the links as you would from your workstation on campus

Self-service timesheets for exempt, non-represented employees and some student workers can be directly accessed via selfservice.matc.edu or links at the top right of mymatc.matc.edu. Within self-service, click “Employee Time sheets” on the right for both the system itself and instructions on how to use self-service timesheets.

EMPLOYEES: SUBMIT INVOICES TO ACCOUNTS PAYABLE

The Accounts Payable team will issue checks each Thursday morning.

Submit invoices to acctspay@matc.edu using the vendor name and invoice number as the subject of the email.

Please ensure that all invoices are approved/signed and have a valid Purchase Order/Blanket Purchase Order (BPO) number. If using a BPO Number, make sure that the BPO has enough funds to cover the invoices. If the account does not contain sufficient funds, the accounts payable team cannot process it.

For those departments or individuals who routinely receive invoices via U.S. mail, if possible, the Accounts Payable team requests that you contact these vendors and ask for electronic invoices.

COURSE UPDATE - MORE DETAILS EXPECTED ON FRIDAY

Our deans and faculty are working on plans to convert courses to alternative/online delivery whenever possible, no later than Monday, April 13. Current plans are to stagger the launch based on when departments are ready to make the transition. SPRING BREAK

There will be no changes to our Spring Break schedule (Friday, April 3 - Sunday, April 12). Just like all Spring Breaks, students should not have assignment deadlines, exams administered or expectation for class participation.

Teams are meeting now to evaluate our next steps for spring commencement. Watch for further updates.

OPEN HOUSE

Spring Open House originally planned for Thursday, April 23 is postponed as we explore other options. Watch for further updates.

Thank you to the entire MATC community for your continued understanding as the college responds to the rapidly-developing situation connected to coronavirus disease 2019 (COVID-19). 

We will continue to provide additional information through regular email messages, Rave Alert messages with emergency information, and at this site. The site also contains answers to frequently-asked questions and an opportunity to ask your own questions.

CLASSES

The education students receive from MATC continues to be a high priority amid this crisis.   We are doing everything we can to determine a way forward for students to continue learning this semester. 

As a reminder, our campuses and education centers are closed through Sunday, April 12.

All in-person classes are suspended through that time. 

At this time, the only classes that will continue to meet are those currently being delivered 100% online or those previously scheduled to be delivered 100% online. We are in the process of building a plan that will outline how students can complete or continue their coursework and expect to communicate more by Friday, March 20. Teams are meeting daily to accomplish this goal.

COVID-19 HEALTH INFORMATION 

As previously announced, MATC has learned that a member of our college community has tested positive for COVID-19.

We know and understand that members of our community are interested in additional information regarding the individual who tested positive for COVID-19.

The level of information and detail we shared was based upon direct guidance from local health departments to balance transparency for the community with privacy for the individual.

Health departments are leading implementation of the communications protocol for this and all positive cases. 

Public health experts are anticipating continued increase in confirmed cases. 

Continue to actively practice social distancing.

FINANCIAL AID, REFUNDS AND OTHER CHECKS

MATC will process Financial Aid refunds this week and next week. Funds will be sent to Bank Mobile cards on Wednesday, March 18; Wednesday, March 25; and Wednesday, April 1.

MATC completed non-financial aid tuition funds and any other paper checks (for VA-related items, books, etc.) on Monday, March 16.

Thank you for all those who are stepping up to serve students, employees and our community remotely. As one small example, the counseling team included resource options in their out-of-office messages and noted that they would be checking email to respond to concerns.

This closure is unlike any other in recent memory. 

As previously stated, the college has made a commitment to continue to pay all employees, including student workers and work study students.  

While our facilities are closed, with limited access only at the Downtown Milwaukee Campus location, employees are expected to be available to work when called upon, both on campus for those employees identified as necessary to secure and maintain our critical operations and/or remotely.

This includes that all employees need to read email daily and watch for Rave messages. Communications will include updates from your supervisor and the college.

Employees will be called upon to complete regular work tasks remotely as assigned, work on special projects, and participate in planning that supports continuity of operations.

The safety and health of our students, faculty, staff and administrators has remained our guiding star throughout this difficult and rapidly-changing time. To protect the campus community and based on the most recent guidance from health officials, MATC is extending the suspension of all in-person classes and closing for non-essential employees beginning Tuesday, March 17 through Sunday, April 12. Services to students are all suspended. Classes that are taught 100% online will continue as scheduled. This includes those 100% online classes which have not yet started.

Please note these additional important updates and read each one carefully. 

  •  As we were planning for the above announcement, MATC learned that a member of our college community has tested positive for COVID-19. MATC is currently working with local health departments to communicate with anyone who came into close contact with this individual and may have been exposed. Those individuals will receive relevant details. The level of information shared at this time is based upon the advice of local health officials.
  • Pay to all employees will continue, including student workers and work study students. Employees must enter timesheets through the pay period ending April 18 before leaving today. Part-time employees should enter hours for their typical work week. Part-time faculty will not need to submit timesheets and will be paid based upon your load.
  • Child care services will close at the end of the day today.
  • All buildings on all campuses will be closed.
  • All student services are suspended.
  • Student bus passes and vouchers can still be used during this time, depending upon MCTS’ continued operation.

Please remember that all in-person classes are suspended beginning tomorrow, Monday, March 16 through Saturday, March 21. Courses taught 100% online will continue. 

Suspending in-person classes gives us time to prepare for a shift to alternative formats, including online, beginning Monday, March 23. 

For students

On campus services for students including admissions, financial aid, registration and testing will continue to be available except Wednesday, March 18. Child care services will continue. Please refrain from visiting campus if you are sick.

For employees

Staff and administrators should continue their normal work schedule and faculty should follow the guidance they received via email Friday along with additional details to be provided today. Many of our students depend on us for services beyond education and we appreciate your continued commitment.

Continue active self-monitoring of your health.  If you have a fever, body aches, dry cough, chest congestion, or shortness of breath, please stay home. 

Social distancing 

Please follow proper social distancing guidelines when interacting with others.  Keep a distance of six feet between yourself and people in meetings, or when passing in the hall.  Do not shake hands, or touch your face without sanitizing first. If you have to cough or sneeze, please use a tissue and dispose of the tissue immediately.  If no tissue is available, sneeze or cough into the sleeve of your shirt, at the elbow. Continue to wash your hands, use hand sanitizer, and clean your workspace with disinfectant wipes throughout the day.  

The college will provide exceptions to those with special health considerations -- please contact Rebecca Wincell in Human Resources. Employees unable to come to work due to K-12 school closures should contact managers and use existing paid time off Monday and then work with managers to make a plan moving forward. Please watch for more details on Monday regarding paid time off availability and options.

 New information about the spread of the coronavirus disease 2019 (COVID-19) continues to emerge rapidly and our emergency management team continues to meet multiple times per day. 

Please see these afternoon updates for Friday, March 13:

No Cases Connected to MATC; State Identifies COVID-19 Cases in Milwaukee County 

The Wisconsin Department of Health Services has now identified two confirmed cases in Milwaukee County. There are no confirmed cases connected to MATC at this time.

In-Person Classes Suspended, Campuses and Student-Facing Services Open

As shared earlier this week, MATC’s in-person classes are suspended from Monday, March 16 through Saturday, March 21 to prepare for a shift to alternative delivery of classes, including online, beginning Monday, March 23. Child care services will continue to be open.

K-12 Districts Closing

If you are an employee with a child whose school is closed next week and you cannot come to work on Monday, please plan on letting your manager know and using an existing sick/compelling personal reason (CPR) day, vacation day or comp time on Monday and work with your manager to identify a plan forward. The college will be working in the coming days to identify solutions to address this challenge and many other challenges employees may be facing during this time. College leaders will be sharing additional guidance for managers and employees on Monday.  

Faculty, Staff and Administrators 

  • Employees should continue their normal work schedule, with the exception of those with special health considerations and those who need to be home to care for children (see note regarding K-12 districts closing). This is in keeping with the practice at other institutions of higher education throughout the U.S.
  • As a community-based institution, it is our responsibility to provide services to our students which extend beyond their basic educational needs. Many of our students depend on us for critical life services. We appreciate the dedication of our employees and their continued commitment to student success.
  • Employees will work their normal schedule at their primary campus location on Wednesday, March 18.
  • Casual dress code — including jeans  — is allowed each day next week.
Athletics

The college has suspended all regular-season practice and competition for all athletics through April 1. A decision for the remainder of the 2020 spring sports schedule will be made April 1.   

FastCare

Students, please see matc.edu for information on FastCare. This is free healthcare for current MATC students provided by Froedert and the Medical College of Wisconsin.

Wi-Fi for Students

As we prepare to transition to alternative formats for instruction, please note that Spectrum is offering free access to broadband and Wi-Fi for students without access for 60 days. A service of up to 100 megabytes per second will be provided. The offer begins Monday, March 16. Those interested in enrolling are asked to call 1-844-488-8395. Installation fees will be waived for new student households.

Absences Regarding Illness

When guidance from the Wisconsin Department of Health Services (see Travel Guidance) recommends self-quarantine for an employee, they have several options to remain on paid status. These include: accrued sick leave, paid vacation time, flexible holidays, or compensatory time. Employees who have exhausted all paid time off may borrow from their 2020-21 fiscal year vacation bank.

Testing Services

Testing will be available as usual with the exception of Wednesday, March 18.

Student Workers, Including Work Study

All work study and student employees should follow their normal work schedule until further notice. They are not expected to work Wednesday, March 18.

Student Activities

Given that most student activities involve groups larger than 50, these gatherings are canceled or postponed. Yesterday, the college communicated that effective Monday, March 16 until at least Monday, April 13 groups larger than 50 must either postpone, divide into smaller groups or use conferencing technology.

As a reminder, facilities teams have installed additional sanitizer and soap dispensers throughout the district and are cleaning high-touch surfaces. Teams have been trained in accordance with Centers for Disease Control and Prevention (CDC) protocols. We ask you to augment this cleaning by using sanitizing wipes distributed by the college to wipe high-touch surfaces.

New information about the spread of the coronavirus disease 2019 (COVID-19) is emerging rapidly — including the governor’s emergency declaration today — and college leadership continues to monitor, respond and plan through our emergency management team. We take this matter seriously because our health and safety as a community is our highest priority.

Today, we are announcing additional steps to mitigate the spread of coronavirus disease 2019 (COVID-19). First, I want to remind you that as of this time, there are no confirmed cases connected to MATC. This, however, could change and our action steps reflect that possibility as well as our core values.

Classes

  • All MATC in-person classes are suspended beginning Monday, March 16 through Saturday, March 21, with the exception of those classes taught 100% online.
  • The class suspension impacts day and evening classes at all four campuses, education centers and community sites.
  • Much of this time will be used for planning to transition to alternative formats. This will include next steps for laboratory-type and clinical classes. Students in these classes will receive specific communications as needed.
  • Further communication about dual-enrollment classes is forthcoming.
  • Suspended classes are expected to return in alternative formats including online on Monday, March 23 with an expected return to more traditional formats by Monday, April 13. Watch for any additional updates regarding this schedule.
  • No student-facing services will be provided Wednesday, March 18.
Faculty, Staff and Administrators
  • Employees should continue their normal work schedule, with the exception of those with special health considerations as noted below. This is in keeping with the practice at other institutions of higher education throughout the U.S.
  • Faculty will be contacted by the Vice President of Learning on Friday, March 13 with additional information regarding their work schedule. 
  • We appreciate the dedication of our employees and their continued commitment to student success.

College-sponsored Travel 

College-sponsored travel outside of our district – Milwaukee, Ozaukee and Washington counties – is suspended effective Monday, March 16 until at least Monday, April 13 with limited exceptions. Employees should direct requests for exceptions to MATC Human Resources, Benefits at 414-297-6504 and students should direct requests for exceptions to Student Services Administrative Office at 414-297-6437.

Personal Travel: U.S. 

In accordance with newly released Wisconsin Department of Health Services guidance, it is recommended that employees and students refrain from traveling to areas within the United States with sustained community transmission (see “general travel guidance”). Upon return from these locations, employees and students must:
  • Self-isolate in home for fourteen (14) days
  • If symptomatic, seek medical treatment and/or testing
Personal travel: International

Until further information is provided, please notify designated personnel if you are planning a trip or returning from a trip to a country or location given a Level 2 or 3 Health Notice by the Centers for Disease Control and Prevention (CDC). Employees must contact Rebecca Wincell in Human Resources and students must contact Cindy Lehner at lehnerc@matc.edu or 414-297-6437.

Special Health Considerations

If You Are Sick

Students or employees who are sick should stay home. Those concerned that they may have been exposed to COVID-19 should follow these guidelines from the Centers for Disease Control and Prevention (CDC). Please continue to follow proper hygiene practices to limit the spread of any illnesses.

The health and safety of our students, faculty, staff and administrators is foremost among our priorities and with that in mind, MATC continues to monitor, respond to and plan for coronavirus disease 2019 (COVID-19). 

It is critical that we be proactive in our approach and also respond to statewide developments and circumstances as they arise.

Today, I want to share two timely updates but first let you know about our overall commitment to be fully prepared and responsive. 

  • The college has activated its emergency operations center and the emergency management team is meeting daily to evaluate ongoing issues and update plans including but not limited to travel, online instruction as needed and remote work as needed. No decisions regarding cancelling classes or altering regular operations have been made at this time. 
  • Students or employees who are sick and are concerned that they may have been exposed to COVID-19 should follow these guidelines from the Centers for Disease Control and Prevention (CDC). Please continue to follow proper hygiene practices to limit the spread of any illnesses.
  • We have also developed a frequently-asked questions document

Today’s timely updates include:

  • Volunteer activities for MATC Day in the Community on Wednesday, March 18 are now cancelled due to COVID-19. Employees should plan to work as scheduled and report to their regular work location unless otherwise directed by their supervisor. Some  teams will be working on planning related to potential COVID-19 impacts and student-facing services will not be offered on this date. Further details will be shared with employees by divisional leaders and/or the communications mailbox. The college is working with the United Way, which will inform volunteer sites. Employees who coordinated independent activities should contact Michelle Krueger regarding next steps. At this time, Thursday, March 19 remains a non-student contact day with no classes and student-facing services open.
  • Over the next several days, the food service team will be eliminating the salad bars at campus cafes and other items will be served by an employee rather than being offered as self-service. The team will also increase the frequency of sanitizing high-touch areas. Please note that the 6th Street Cafe on the Downtown Milwaukee Campus is closed at this time due to an unrelated licensing issue. This also affects the 6th Street Bakery at this time.

Students are receiving this information as well as the following

Milwaukee Area Technical College’s emergency management team continues to review and update plans to respond to issues related to the coronavirus disease 2019 (COVID-19). As of 4 p.m. on Tuesday, March 10, 2020, the Wisconsin Department of Health Services has confirmed three cases in the state; none is in the Milwaukee area. (For the latest, please visit the Wisconsin DHS website.)


Steps the college is taking include:

  • Antibacterial dispensers are being refilled and more have been disbursed at key locations districtwide.
  • Facilities staff are regularly disinfecting high-touch areas. 
  • An alternative delivery plan for instruction (online options) is in place if needed.
  • College representatives are meeting with local health departments in preparation for potential outbreaks affecting our campuses and the communities which house them.
  • The college is exploring opportunities and resources that would allow employees to work from home.
  • We are also communicating with students, faculty, staff and administrators on an ongoing basis.

 

General prevention tips include:

  • Voluntary Home Isolation: Stay home when you are sick with respiratory disease symptoms. At the present time, these symptoms are more likely due to influenza or other respiratory viruses than to COVID-19-related virus. Seek medical advice in accordance with Centers for Disease Control (CDC) guidelines.
  • Respiratory Etiquette: Cover coughs and sneezes with a tissue, then throw it in the trash can.
  • Hand Hygiene: Wash hands often with soap and water for at least 20 seconds; especially after going to the bathroom; before eating; and after blowing your nose, coughing, or sneezing. If soap and water are not readily available, use an alcohol-based hand sanitizer with 60%-95% alcohol.
  • Environmental Health Action: Routinely clean frequently touched surfaces and objects.

 

Instructions for travelers:

  • Until further notice, employees traveling to or returning from CDC-designated Level 2 or 3 areas must contact MATC’s Human Resources Department.
  • Students returning from CDC Level 2 or 3 areas must contact Student Services. 
  • These students and staff will be asked to self-quarantine and self-monitor for 14 days. This practice is based on recommendations from the State of Wisconsin Department of Health.

Milwaukee Area Technical College continues to monitor the news of the coronavirus, which began in China and now includes a few confirmed cases in the United States. There are no confirmed coronavirus cases in Wisconsin at this time.
